This privacy policy applies to job applicants and candidates, our consultants and other recipients of our HR services, users of our websites and contact persons at our customers, suppliers and partners.
Information we collect
Information is collected in various ways, for example by you registering in our database or applying for a position through us. We also collect information through events, the “contact us” form on the website or contact via social media, as well as through our collaboration with customers and suppliers. Email correspondence, text messages and minutes from telephone conversations may also be stored in our database. We process personal data about job applicants in order to assess whether your profile is suitable for the job you have applied for. This includes information about name, contact information, information about education, work experience, references, etc. (CV).
Providing us with information is voluntary. The information you provide will be important for our assessment of your application. We process personal data about our consultants in order to manage our staff, to organize our business and to comply with legal requirements.
We process personal data about former consultants in order to be able to document our compliance with our obligations as an employer if necessary. Information about former consultants will also appear in agreements, correspondence and other documentation we store and use as part of our business.
We process information about contact persons at existing and potential business customers and suppliers for preparation, marketing, sales, administration, documentation and follow-up.
What we use the information for
We process data in order to provide our staffing, recruitment and other HR-related services. This includes responding to inquiries, assessing applications, guiding and getting people into work and managing customer and supplier relationships. It is voluntary to provide us with personal data. Some information may be necessary in order to enter into an agreement or to fulfill obligations we have entered into, and a few information we must process to fulfill obligations we have in the agreement with the employees. We also process information because we are legally obliged to do so, for example to disclose and store information in accordance with the Bookkeeping Act, the Tax Administration Act and the Information Act or to pay salaries.
The processing of personal data is based on our legitimate interest in providing and promoting our services for the benefit of, and communicating with, job applicants, candidates, consultants, customers, suppliers and other business partners.
How long information is stored
Management 4 U will send out updates to applicants and candidates registered in our database once a year on whether they wish to remain registered in the database. Anyone can contact us at any time to request the deletion of their personal data, see below about the rights of data subjects.
We may store information about sales, purchases or employment relationships for documentation purposes for as long as we believe it may be needed.
Who information is shared with
Information is stored with us in electronic personnel folders. Information is only available to Management 4 U’s HR advisors and general manager. We share information about candidates with our customers for possible employment, but only when you have consented to this. This may be when you apply for a position where the client is stated, or that we have contacted you regarding a position. We provide Jansson & Larsen Regnskap AS (our data processor) with the information necessary to administer the payment of salaries, holiday pay, reimbursements and other benefits, as well as reporting to public authorities on employment and income conditions. We also store and disclose information where we have a legal obligation to do so, for example under the Bookkeeping Act and the Tax Administration Act.
Rights for the data subjects
You have the right to receive the personal data we hold about you, and if it contains errors, you have the right to demand that it be updated or corrected. You may also request that your personal data be deleted at any time. Some personal data may be necessary in order to, for example, maintain an agreement or assess an application, and some data may be required by law to be stored in connection with an employment relationship. This will be assessed in each individual case. You can read more about your rights on the Norwegian Data Protection Authority’s website. You also have the right to complain to the Norwegian Data Protection Authority if you believe that we do not comply with the rules in the Personal Data Act.
